The Project Phase Model: Social Good DPro Starter

A problem tree is a visual problem analysis tool that looks like a tree with three components: ● The trunk of the tree is the core problem statement. Always start here! ● The roots are the CAUSES of the core problem – factors that contribute to the core problem. ● The branches are the EFFECTS - consequences that result from the core problem. Creating a problem tree with your team (and other stakeholders, if appropriate) enables a more robust problem analysis and helps everyone clearly see the cause-and-effect relationships. It starts with a single core problem statement. Then you look at the causes. As you identify causes, be sure to drill down further to uncover the root causes of the problem. Do this by repeatedly asking “Why is that happening?” to dig into deeper causes. When identifying effects, follow the same process by repeatedly asking, “So what happens because of that?” When complete, the problem tree conveys the current state of the increasing incidence of unhoused youth in Havenford – answering questions like, “What is the problem? What are the direct causes? What are the root causes? What is the root cause of a problem? Often there isn’t one simple answer. The bigger the problem, the more likely it is that its roots will be widespread, and mapping out the causes can quickly make the problem seem overwhelming. The Problem Tree helps you think of a problem in a thorough manner and provides a structured way to analyze it. It pushes you to deconstruct all possible causes for the problem rather than the obvious ones. You can use it both to analyze a new problem and as a tool to highlight the gaps in an existing problem. It also helps to differentiate causes from effects or symptoms, giving you a better idea of the solutions needed to solve a problem permanently, and it helps to build a shared understanding of what it is you’re working on.

The foundation of effective financial management is a strong financial system. An organization’s financial system is the central pillar for the planning, organizing, monitoring and controlling of financial resources. While there is no universal standard for a financial management system, Finance DPro (FMD Pro) uses the four building block model as a framework. The model is composed of four fundamental, inter-linked building blocks that must be in place to ensure good practice in financial management. They are: Accounting Records – every organization must keep a record of all financial transactions that take place so they can show how funds have been used. Financial Planning – preparing budgets and cash flow forecasts for projects and programs and for longer-term financing strategies, to ensure successful projects and organizations. Financial monitoring – using financial reports to help managers monitor the progress of their projects and take actions to keep things on track; they are also needed for accountability to funders and external stakeholders. Internal Control – a system of checks and balances designed to manage risk, safeguard financial resources from loss due to errors, theft or fraud and protect staff. What is Finance DPro (FMD Pro)

Projects need financial resources (money) to implement activities. The financial transactions for project implementation fall into two main categories: EXPENDITURES- spending money to buy a wide range of goods and services – from paying rent for an office to purchasing tools for a garden project. INCOME- receiving funds from grants, donations and membership fees. To help manage projects, teams need to classify or ‘sort’ the different types of expenditures and income into pre-determined descriptive categories or accounts. That is where the chart of accounts comes in. It is, quite simply, a list of categories that enables you to classify and sort financial transactions. Most organizations will already have their own coding system in place where each category of INCOME and EXPENDITURE is attached to a specific account code. You should use and apply these codes to correctly record transactions in the accounting records and create financial reports. Chart of Accounts: Finance DPro (FMD Pro)

Each organization’s procurement process is unique and designed to suit its specific context and operations. Whatever specific system an organization has, the procurement process is made up of three components, which FMD Pro calls the 3 ‘Ps’ of procurement: Process – describes the steps and rules that must be followed when ordering, receiving and paying for goods and services. We would use a simpler process to buy small items, such as stationery, and a more complex process to purchase high value items like a vehicle. People – identifies the names and job titles of people who can initiate and/or authorize each stage of the process. The higher the value and risk in the purchase, the more people should be involved, to protect the process from fraudulent activity and to get the best value for money. Paperwork – each stage of the process generates paperwork and supporting documentation, all of which should be retained and filed together for each transaction (for reference and audit purposes). The flow diagram below describes steps involved when purchasing higher value items from a supplier. Remember, organizations each have their own unique procurement process, however, this flow chart sums up the key steps included in most procurement processes.
